How we collect, use and protect your personal information, in line with the Protection of Personal Information Act (POPIA).

We use your details to process orders, deliveries, collections, returns, warranty claims and service bookings.
We never sell your personal information.
We only send you offers if you have agreed or you are an existing customer, and you can opt out at any time.
You can ask to see, correct or delete the information we hold about you.

1.2Our Information Officer is responsible for how we handle personal information. 2. What this policy covers

2.1This policy covers personal information we collect through our websites (poolpondspa.com, our online store poolpondspaonline.co.za and our pool services site ppsfp.co.za), in our stores, on WhatsApp, by phone and by email.

2.2It does not cover information that can no longer identify you, such as anonymous statistics.

3. What we collect

Contact and order details: your name, phone number, email address, delivery and billing address, and your order history. If you buy for a business, also the company name, registration number and VAT number.
Payment details: card payments are processed by our payment providers, and we never see or store your full card number. We keep proof of payment and EFT references, and your bank account details only when we refund you.
Pool and service details: your pool size and equipment, photos you send us, water test results, and your service address and access instructions.
Messages: your WhatsApp messages, emails, calls and reviews.
Website use: your IP address, device and browser type, the pages you visit and cookies. See section 10.
Anything else you choose to share, such as competition entries and survey answers.

4. How we use it

We only use your personal information when the law allows it: to carry out our agreement with you, to meet a legal obligation, to protect a legitimate interest, or with your consent.

To process and deliver your orders, arrange collection and WhatsApp you when your order is ready
To handle returns and warranty claims, including with manufacturers and their agents
To book and carry out pool services
To answer your questions and give you advice
To keep tax and accounting records, as the law requires
To prevent fraud and keep our systems secure
To improve our websites, products and service
To send you offers and news, but only if you have agreed or you are an existing customer. Every marketing message tells you how to opt out.

5.1We share only what is needed, with:

couriers, to deliver your order
payment providers and banks, to process payments and refunds
suppliers and manufacturers or their agents, for special orders and warranty claims
the companies that host and run our websites, online store, email and messaging
our accountants, auditors and legal advisers
authorities, when the law requires it

5.2Pool Pond Spa also fulfils orders for a group of partner pool stores. If you buy from a partner store that we fulfil, we receive the details needed to pack, deliver and support your order. We and that partner store each use them only as our agreement and this policy allow.

5.3Everyone we share personal information with must keep it confidential and secure. We never sell your personal information.

6. Information stored outside South Africa

6.1Some of our service providers store information on servers outside South Africa. We only use providers that are bound by laws or agreements that protect personal information to a standard similar to POPIA.

7. How long we keep it

7.1We keep personal information only for as long as we need it for the purpose we collected it, or for as long as the law requires. For example, tax and accounting records are kept for at least 5 years. After that, we delete it or remove anything that identifies you.

8. How we keep it safe

8.1We take reasonable technical and organisational steps to protect your information. Only staff who need it can see it, payments are encrypted by our payment providers, and we choose service providers who protect information properly.

8.2If your personal information is ever accessed by someone who shouldn't have it, we tell you and the Information Regulator, as POPIA requires.

9. Your rights

9.1You have the right to:

ask whether we hold personal information about you, and for a copy of it
ask us to correct or delete information that is wrong, out of date or that we no longer need
object to us using your information, including for direct marketing
withdraw your consent where we rely on it
complain to the Information Regulator

9.2To use any of these rights, email [email protected]. We check your identity first, to protect your information, and reply within a reasonable time.

9.3If you are unhappy with how we handled your request, you can complain to the Information Regulator through its website, inforegulator.org.za.

10. Cookies

10.1Our websites use cookies, small files stored on your device. Some are needed for the site and the checkout to work. Others help us understand how the site is used, so we can improve it.

10.2You can block or delete cookies in your browser settings. If you block them all, parts of the online store may not work.

11. Children

11.1Our websites and stores are not aimed at children. If you are under 18, please don't give us personal information without the consent of a parent or guardian.

12. Other websites

12.1Our websites link to other websites, such as payment pages and maps. Their own privacy policies apply, and we are not responsible for how they handle your information.

13. Changes to this policy

13.1We may update this policy from time to time. The date at the top of this page shows when it last changed. If we make an important change, we tell you on our websites or by email.
